Norwegian People’s Aid (NPA) is an International Non-Governmental Organization involved in humanitarian, relief and long-term development cooperation in South Sudan. NPA’s operational history in the country spans over almost three decades and involves implementing emergency, recovery and development programs that are contiguous in both space and time. Programmatic areas of focus are Food Security and Livelihoods, Civil Society Development, Health, and Humanitarian Disarmament. NPA continues to provide services to South Sudanese in 8 out of South Sudan’s 10 states.
NPA receives funding from a range of donors, including institutional, multilateral and various embassies. The Grants Manager and Program Managers are responsible for managing fundraising activities across the organization and currently manage a grants portfolio of approximately USD 30 million annually.
We are now seeking qualified candidates for the position of Programs Support and Reporting Coordinator.
Position Summary:
NPA is a growing and ambitious organization with a clear vision and strategy for our future development. The Programs Support and Reporting Coordinator will work closely with the Grants Manager to support the implementation of NPA South Sudan’s funding strategy over the coming period. As most of our existing grants come from a number of governments and multilateral donors, NPA is looking for someone who can contribute to the effective management of these grants as well as bring additional fundraising skills to the team. The post holder will oversee detailed reporting, and support the Grants Manager in coordinating the submission process for new applications and preparing communication products to ensure that NPA South Sudan continues to enjoy a significant and predictable income base.
This position reports to the Grants Manager and will be based in Juba.
Essential Functions
With support from the Grants Manager, familiarize with all requirements of a Call for Proposal/RFA/RFP/FOA/NOFA and ensure that all support documents required for the proposal submission are available in time
Attend informational and RFP/RFA/FOA/NOFA meetings and prepare minutes highlighting key issues from these meetings
Support the Grants Manager in ensuring that the RFA Compliance Matrix is adhered to by all parties involved in the proposal development process
Develop and maintain an in-house tracking mechanism for all grants (e.g., award amounts, grant periods, reporting and renewal deadlines, NCE deadlines, deliverables) and maintain an organizational calendar of the grant cycle
Maintain a complete and orderly administrative record of all proposals, contracts, partnerships, grants and other pre-award and post-award instruments including financial and narrative reports
Edit and ensure timely submission of all reports by working with Program Managers to collect necessary information
Work closely with Grants Manager and Program Managers to review programs and projects in order to obtain information for reporting, comply with donor expectations, be aware of programmatic needs for funding, and remind them of reporting requirements and deadlines
Conduct prospect research to identify new potential donors across all sectors
Work with the Program Managers to produce NPA South Sudan program brochures, briefs, updated program case studies and factsheets that can be used for different audiences
Work with the Program Managers to produce communication materials in response to specific issues and events that can be shared with the Head Office Communication and Marketing department
Assist the Grants Manager in organizing Annual Operations Planning meetings and coordinating the drafting of the Annual Operations Plan

Qualifications and Requirements
Master’s degree in any of the social sciences or project management
At least 3 years demonstrable experience in a role with similar responsibility for information management and coordination
Demonstrated experience of setting up and maintaining awards management information systems
Demonstrated knowledge of the proposal development process and experience in working with different donors
Experience in managing proposal submission processes for different donors
Previous experience in writing and editing reports and familiarity with key donors’ reporting requirements
Excellent skills in written and spoken English
Experience in preparing a variety of communication packages targeting different audiences
Highly organized and detail-oriented, proficient and diplomatic communicator, and has strong verbal, written and interpersonal skills
Resourcefulness, flexibility, good organizational skills and the ability to prioritize and to meet deadlines
Experience in tailoring communication and advocacy messages for a variety of decision-makers is a plus
Competent IT skills and experience in using email and Internet
